On-Premises edition

DocuSwift on your servers, in any data centre or cloud

The On-Premises edition is a self-hosted document management system. It runs as Docker containers with a PostgreSQL database and conventional file storage, so your documents, metadata and audit logs stay on infrastructure you control. Optional integrations such as AI summaries make outbound calls only if you switch them on.

No policy requirement to self-host? Our recommended AWS Serverless edition costs less to run, needs no servers and includes every capability.

Why serverless
Why self-host

Keep every document inside your own walls

Some institutions must keep documents in their own data centre. Others standardise on a cloud other than AWS, or want to reuse the PostgreSQL, storage and backup systems they already run. The On-Premises edition is built for them.

  • Policy or a regulator requires documents in your own data centre
  • You standardise on Azure, Google Cloud, Oracle Cloud, VMware or bare metal
  • You want to reuse existing PostgreSQL, storage and backup investments
  • Your IT team prefers to operate the stack itself

What's included

The core DocuSwift experience, self-hosted

Your teams get the same way of working with documents: sources and folders, metadata search, approvals, e-signatures and audit logs.

Documents and folders

Sources, nested folders, upload with duplicate detection, versions, rename and move, favourites, and a trash with restore and permanent purge.

Check-out while editing

Lock a file while you work on it so nobody overwrites your changes, then unlock it with a new version.

Metadata and search

Metadata schemas and tags, bulk metadata upload from a spreadsheet, search by name or metadata, and Excel-driven bulk search with downloadable results.

Approvals and workflows

Multi-level approval flows with assignments and notifications, event-driven workflows, webhooks and calls to your own APIs.

E-signatures and sharing

Signature requests through secure links, per-item access control, shared items and public links for external parties.

Audit and access control

Admin-centre and file audit logs with export, roles, groups and source-level permissions, and user import and export.

Sign-in and MFA

Built-in sign-in with TOTP multi-factor authentication, password reset and invitation flows, plus Microsoft Entra ID sign-in.

Integrations

REST API with API keys and interactive Swagger documentation, webhooks, Aadhaar masking through FinHub and optional AI summaries.

Dashboard and branding

Daily, weekly and monthly usage analytics by source, and portal customisation with your logo and colours.

Requirements

What you need to run it

Conventional infrastructure your IT team already knows. No proprietary appliances and no cloud lock-in.

  1. 1

    Provision

Prepare Linux hosts with Docker, a PostgreSQL database, a storage volume and an SMTP relay in the environment you choose.

  2. 2

    Configure

Set the database, storage, email and secret-key settings in an environment file. Add Microsoft Entra ID, Bedrock or FinHub settings only if you want them.

  3. 3

    Start

Start the API, worker, scheduler and Redis with Docker Compose. The API applies database migrations automatically on start-up.

  4. 4

    Go live

Put your reverse proxy and certificate in front, create sources, roles and approval flows, then migrate your documents.

Linux hosts with Docker
Docker Engine and Docker Compose on one or more Linux servers or virtual machines, in your data centre or any cloud.
PostgreSQL 12 or later
Your own PostgreSQL server or a managed PostgreSQL service. DocuSwift creates and migrates its schema on start-up.
Persistent storage
A volume for documents and logs: local disk, or a NAS or SAN mount your backup tooling already covers.
SMTP relay
Any SMTP server for invitations, approval notifications and password resets.
TLS in front
A reverse proxy or load balancer that terminates HTTPS with your certificate.
Sizing
The reference Compose file allows the API up to 2 vCPU and 3 GB of memory and the worker up to 1.5 vCPU and 2 GB. Size PostgreSQL and storage for your document volume.
Compare

On-Premises vs. AWS Serverless

Choose On-Premises when policy requires control over where everything runs. Otherwise choose AWS Serverless: lower running cost, zero operations and the full feature set.

FAQ

On-Premises questions

More in the full FAQ.

Which edition should we choose?
We recommend the AWS Serverless edition. It is the more cost-effective edition to run: AWS services bill per use, so there are no idle servers, and there is no hardware or database to buy, patch or staff. It also includes every DocuSwift capability and a disaster-recovery install in every plan. Choose the On-Premises edition when policy or a regulator requires documents in your own data centre, or when you must run on a cloud other than AWS.
Can DocuSwift run outside AWS?
Yes. The DocuSwift On-Premises edition runs as Docker containers on Linux servers you control, with a PostgreSQL database and conventional file storage. You can install it in your own data centre, a private cloud such as VMware, or on any public cloud including Microsoft Azure, Google Cloud, Oracle Cloud and Amazon EC2.
What do we need to run the On-Premises edition?
Linux hosts with Docker Engine and Docker Compose, PostgreSQL 12 or later, a persistent volume for documents (local disk, NAS or SAN), an SMTP relay for notifications, and a reverse proxy or load balancer that terminates HTTPS. Redis is included as a container in the reference Compose file.
Does any data leave our network?
Not for core document management: documents, metadata and audit logs stay on your servers. AI summaries (Amazon Bedrock), Aadhaar masking (FinHub API) and Microsoft Entra ID sign-in are optional integrations that make outbound calls only when you enable and configure them.
How do the two editions differ in features?
Both editions share the core DMS: folders and versions, metadata and bulk search, approval flows, workflows and webhooks, e-signatures, audit logs with export, role-based access, TOTP MFA, Microsoft sign-in and the REST API. Intelligent document processing with Amazon Textract, full-text OCR search, the hash-chained audit archive, retention rules and legal holds, compliance posture, access reviews, SIEM export and the SharePoint and Salesforce connectors are currently delivered by the AWS Serverless edition.
Who operates the On-Premises edition?
Your IT team runs the hosts, Docker, PostgreSQL and backups, using the tools you already have. HabileLabs provides the software releases and helps with installation and configuration.
How is the On-Premises edition licensed?
The On-Premises edition is licensed directly by HabileLabs and quoted for your environment. The annual plans on AWS Marketplace cover the AWS Serverless edition. Contact us with your user count, document volume and hosting environment for a quote.
