Frequently asked questions

Product

What is DocuSwift?
DocuSwift is a serverless, AWS-native Document Management System (DMS) by HabileLabs. It centralises, organises, searches, processes and governs business-critical documents — loan files, KYC packets, customer records and compliance files — with role-based access, approval workflows, version control, metadata tagging, immutable audit trails and intelligent document processing. It is recognised as AWS Qualified Software and is available on AWS Marketplace.
Who is DocuSwift built for?
DocuSwift is designed for document-heavy, regulated organisations: NBFCs, housing-finance companies, small finance and co-operative banks, microfinance institutions, insurers and wealth or broking firms. The same platform serves healthcare, logistics, education, manufacturing and enterprise operations teams that need secure, searchable document storage at scale.
Which file formats does DocuSwift support?
DocuSwift stores any file type and previews the common ones in the browser: PDF, Word (DOC/DOCX), Excel (XLS/XLSX/CSV), PowerPoint (PPT/PPTX), images (PNG, JPG, GIF, WebP, SVG), HTML, text, JSON and CAD (DWG). Large PDFs are compressed on ingest, and scanned documents are OCR'd so their content becomes searchable.
How does search work?
You can search by keyword or phrase across OCR'd document content, by metadata attributes such as Loan ID, Branch or Customer ID, and in bulk by uploading an Excel list of identifiers. Searches can be scoped to one source (for example a branch or department) or run globally across the repository.
What support does HabileLabs provide?
Support covers onboarding and setup, user and role configuration, workflow configuration, technical troubleshooting, backup and monitoring questions and AWS Marketplace subscription help. Standard hours are Monday to Friday, 10:00–19:00 IST, with responses typically within 24 business hours depending on severity. Enterprise support plans are available through private offers.

Pricing

How is DocuSwift priced?
DocuSwift uses pay-as-you-store pricing: a flat rate per terabyte of documents stored per month, with unlimited users included. On AWS Marketplace the public listing is a one-time installation and setup fee of USD 2,000 plus USD 50 per TB per month, billed through your AWS account. Private offers are available for enterprise volumes and multi-year terms. AWS infrastructure consumed in your account (S3, Lambda, DynamoDB and so on) is billed separately by AWS.
Is there a limit on the number of users?
No. Whether you have 5 users or 5,000, DocuSwift never charges per seat. Add every branch, department and external auditor without changing your bill.
Can we buy DocuSwift through our existing AWS agreement?
Yes. DocuSwift is a SaaS listing on AWS Marketplace, so purchases appear on your AWS invoice and can count towards AWS committed-spend agreements such as EDP or PPA, subject to your agreement terms.

Security

Where are our documents stored?
In your own AWS account and region. DocuSwift is provisioned with AWS CloudFormation into the AWS account you nominate (for example Mumbai ap-south-1 with disaster recovery in Hyderabad ap-south-2). Documents sit in Amazon S3 buckets you own, encrypted at rest; HabileLabs has no access to your account or your documents.
How secure is DocuSwift?
DocuSwift follows a security-first architecture: encryption in transit (TLS 1.2+) and at rest (Amazon S3 server-side encryption with AWS KMS), Amazon Cognito authentication with TOTP multi-factor authentication and Microsoft Entra ID single sign-on, role-based access control by user, group, source and folder, pre-signed expiring download URLs, idle-session timeouts and immutable audit logs. The product has passed the AWS Foundational Technical Review (FTR).
What do the audit logs capture and can they be altered?
Audit logs record uploads, views, downloads, edits, version changes, approvals, share events and signatures with user, timestamp and document identifiers. Logs are system-generated and immutable — they cannot be edited or deleted by users or administrators. You can filter by date range, export them, and stream them to a SIEM.
Does DocuSwift help with DPDP Act and RBI expectations?
DocuSwift gives you the technical controls those frameworks expect: data residency in an Indian AWS region, encryption, least-privilege access, PII and Aadhaar masking, retention rules, legal holds, access reviews and tamper-resistant audit trails. Your compliance team remains responsible for policies and processes; DocuSwift supplies the evidence.

Deployment

How long does it take to go live?
A standard deployment is provisioned in your AWS account in under a day. Most customers complete configuration — sources, metadata schemas, roles and approval flows — within one to two weeks, followed by migration of existing documents. Large migrations (tens of terabytes) are phased and run in parallel with day-to-day use.
Do we need to manage any servers?
No. DocuSwift is built entirely on serverless AWS services — AWS Lambda, Amazon API Gateway, Amazon DynamoDB, Amazon S3 and Amazon Cognito — which scale automatically and carry no idle cost. There are no instances to patch and no capacity to plan.
What about backup and disaster recovery?
Amazon S3 provides 99.999999999% durability, AWS Backup enforces policy-based backups, and DocuSwift supports cross-region replication and an active-active deployment across two regions. Aavas Financiers runs this design across Mumbai and Hyderabad and reports 99.99% uptime.

Integration

Can DocuSwift integrate with our LOS, LMS or core banking system?
Yes. DocuSwift is API-first: every console capability is exposed through a documented REST API with scoped API keys and a JavaScript SDK. Webhooks and an event-driven workflow editor notify downstream systems on upload, approval or signature. Ready-made integrations include SharePoint two-way sync, a Salesforce connector and Microsoft 365 sign-in.

Migration

Can we migrate documents from an existing DMS or shared drives?
Yes. DocuSwift supports bulk import from legacy DMS platforms, network shares and scanned archives. Folder structures and metadata are preserved, and HabileLabs' team has migrated 35+ TB for a single customer using a phased approach that keeps the business running throughout.
